1.0 PAYMENTS & CANCELLATIONS

1.1 TERMS OF SERVICE

Wellspring Wellness Retreats will list what is included and not included on the registration page. Airfares, extra transit accommodations, personal spending money, and add-on spa treatments (such as specific facials or massages outside the core itinerary) are not included. Please note that Wellspring Wellness Retreats operates as an alcohol-free environment; no alcohol is provided or permitted on the compound.

1.2 RESERVATIONS

To reserve your place on one of our retreats, please complete our secure payment form and complete your deposit payment.

1.3 PAYMENT & ACCEPTANCE OF TERMS AND CONDITIONS

Wellspring Wellness Retreats will consider acceptance of these Terms and Conditions by any Customer who has made a partial or complete payment for our services. You are not required to sign these terms and conditions to be in acceptance of them. Please note that a formal signature is required separately for your physical and video release waiver forms.

Payments can be made via secure processing channels or direct payment links. Final balances are due 30 days before the retreat start date. If final payment is not received by 30 days prior to the retreat start date, Wellspring Wellness Retreats reserves the right to cancel your reservation and accept new reservations for your space. In this case, your deposit will be forfeited.

1.4 CANCELLATION BY GUEST & REFUND POLICY

If you wish to cancel your retreat place, you must notify Wellspring Wellness Retreats by email. Once we’ve received your written notice, the cancellation will take effect.

Please NOTE that we employ a strict NO REFUND POLICY. Due to the nature of our boutique retreats and Wellspring Wellness Retreats incurring immediate operational, catering, and venue securing costs upon a customer’s acceptance, we reserve the right not to refund monies under any circumstances. Wellspring Wellness Retreats reserves the right to evaluate refunds at its own discretion pending how close the retreat is to commencing. If an exception is made due to a reasonable timeframe, we will enact a refund less administrative, advertising, planning, and booking fees.

1.5 CANCELLATION BY WELLSPRING WELLNESS RETREATS

We will do our best to make sure our retreats run without disruption. However, your safety and spiritual peace are our priorities. In the unlikely event that we must cancel a retreat—whether it be due to severe weather, facility emergencies, staff illness, or any other unforeseen circumstance out of our hands—participants may transfer their credit to a future retreat (to be used within 12 months).

While we support our community as much as possible during this process, we must be explicitly clear: in the event of a cancelled retreat, Wellspring Wellness Retreats is not liable for personal cash refunds or travel reimbursements. Participants can, however, lodge a claim with their travel insurance provider for reimbursement of transit or flight expenses.

1.6 CHANGES BY WELLSPRING WELLNESS RETREATS

Wellspring Wellness Retreats reserves the right to make changes deemed necessary by our team, leaders, speakers, or venue partners prior to the retreat start date. In the event that we need to adjust the specific lakeside facilities, the workshop leaders, the exact timeline of the itinerary (such as adjustments to the workshops, ceremonies, or shared activities), or any other aspect due to unforeseen disruptions, guests may transfer their credit to a future retreat within 12 months from the original start date.

All other personal travel payments will be forfeited, and Wellspring Wellness Retreats will not be liable for refunding or reimbursing any amount beyond the internal transfer of your retreat credit. Wellspring Wellness Retreats is not responsible for reimbursing you if you decide to cancel based on these scheduling adjustments.

1.7 DISRUPTED TRAVEL & ARRIVALS

It is the participant's responsibility to arrive at Birmingham-Shuttlesworth International Airport (BHM) in time for the designated 10:00 AM complimentary shuttle departure on Day One, or to safely navigate their own driving routes to the lakeside compound. Wellspring Wellness Retreats is not liable for any missed programming, delayed flights, or individual travel disruptions, and no compensation or partial refunds will be issued for late arrivals.

2.0 INSURANCE & DOCUMENTATION

2.1 TRAVEL & TRIP INSURANCE

While our retreat is grounded locally, domestic travel or trip cancellation insurance is highly recommended for all Wellspring Wellness Retreats participants. It is vital that your chosen policy covers the participant for the specific dates of the retreat and includes medical coverage and personal emergency protection. We highly suggest adding a "Cancel for Any Reason" rider to your insurance policy to secure financial compensation for your personal travel investments should an unexpected family emergency, medical complication, or occupational shift prevent you from attending.

3.0 ACKNOWLEDGEMENT

3.1 ACKNOWLEDGEMENT OF RISKS - ASSUMPTION OF RESPONSIBILITY

Although Wellspring Wellness Retreats has taken thorough, reasonable steps to ensure a safe, peaceful, and restorative environment, I (the retreat participant) acknowledge that this experience involves physical components that carry inherent risks which cannot be entirely eliminated. The natural, lakeside elements that contribute to the unique character of this retreat can cause minor unexpected injury, illness, or property damage.

Our restorative programming varies and includes, but is not limited to: outdoor fire pit ceremonies (the Letting Go Burning Ceremony), lakeside wellness activities, paddleboarding, water floats, hot saunas, Jacuzzi utilization, and structured somatic breathing or physical stretching.

Environmental components include a natural lakeside environment with deep water bodies, variable outdoor temperatures, sun exposure, and regional wildlife or insects. Possible seasonal conditions include heat, dehydration, sunburn, or sudden weather changes. Throughout the duration of the weekend, participants remain fully responsible for their own personal physical movements and safety.

I (the retreat participant) acknowledge and understand that participation includes these baseline risks of physical activity. I agree to assume responsibility for the inherent physical risks identified herein and those inherent risks not specifically named, electing to participate purely out of voluntary choice with full knowledge of these elements. I assume full responsibility for my personal property, physical wellness, and any expenses suffered as a result of my own negligence while engaging in retreat activities.

4.0 WAIVER

4.1 RELEASE AND WAIVER OF LIABILITY

DECLARATION OF HEALTH

By accepting this Agreement, I (the retreat participant) represent that I have no physical conditions, hidden medical restrictions, or severe health precautions which would adversely affect my ability to safely take part in the stretching, breathing, sauna, or outdoor workshop activities offered on Wellspring Wellness Retreats. I fully understand that my participation is invitational, and I voluntarily assume all standard wellness and physical risks related to such activities.

PERSONAL RELEASE

By agreeing to the terms outlined here and elsewhere on the Wellspring Wellness Retreats platform, I hereby release and discharge my rights and claims for damages or liabilities that may occur as a result of participation on a Wellspring Wellness Retreats experience, including but not limited to unexpected weather occurrences, local transit issues, or acts of God. I release Wellspring Wellness Retreats—including its owners, directors, facilitators, speakers, and venue partners—from liability for personal injury, illness, emotional distress, incurred personal travel expenses, or property loss/damage I may sustain as a result of participation.

For the benefit and spiritual harmony of the entire group, Wellspring Wellness Retreats reserves the right to accept or reject any participant at any time without liability. In the event that our team determines, in its sole and exclusive discretion, that a participant is intensely disruptive to the emotional safety, harmony, or communal trust of the retreat, we may—without any obligation to pay a refund—expel such participant from the compound. Wellspring Wellness Retreats carries no responsibility or liability for any participant who leaves the retreat prior to its conclusion or for any independent activity undertaken outside the designated retreat itinerary.

4.2 RELEASE AND PERMISSION TO PHOTOGRAPH AND VIDEO

By agreeing to the terms outlined here and on the Wellspring Wellness Retreats website, I hereby grant permission to Wellspring Wellness Retreats for the professional rights to my image, video recording, or likeness captured during the weekend. I understand that my image may be edited, published, or shared for community recaps and promotional updates, and I waive the right to inspect or formally approve the finished digital product wherein my likeness appears. Additionally, I waive any right to royalties or other financial compensation arising from or related to the use of these media recordings across online platforms and social media channels.
